A meeting starts in five minutes. Someone walks into a conference room, plugs in a laptop, and nothing shows up on the display. They unplug the cable and try again and still nothing. A minute later they try pressing buttons on the devices, swap cables, and finally get the screen to wake up. The meeting starts three minutes late and nobody opens a ticket.


The next group in that room runs into the same problem, so does the group after that. Weeks can pass before anyone actually reports it.


From IT’s point of view, the room looked healthy the entire time. Every device was online, no alerts fired and the dashboard stayed green. From the people using the room, it had been unreliable for weeks. That gap between what the dashboard says and what people actually experience is one of the biggest blind spots in workplace technology today.


Most Issues Never Get Reported

When people picture a meeting room failure, they usually picture a ticket getting filed the moment something breaks. In practice, that’s rarely what happens. People adapt instead; they press buttons on devices, they try a different cable, they grab another laptop, they move to a different room, or they just give up on the space altogether.

Those are two different things, and treating them as the same one is where the trouble starts.


The Cultural Cost Is Bigger Than the Technical Cost

Over time, unreliable rooms create something more damaging than a backlog of tickets. They create distrust. People start avoiding certain rooms altogether. They’d rather join from their laptop at their desk than risk another failed setup. Some decide it’s just easier to work from home.


IT ends up with a reputation for running systems that “never seem to work,” even though the underlying issues are usually simple to fix. The real problem isn’t the fix, it’s that nobody knew the issue was there in the first place.


The Goal Shouldn’t Be Better Ticketing

A lot of organizations respond to this by trying to make it easier for people to report problems. That helps, but it still relies on the user becoming part of the operational process. It still assumes someone has to notice, care enough, and take the time to say something.
