Someone walks into a conference room.


They aren't there for a meeting. Maybe they want to watch a race. Maybe they need to connect a different source for a few minutes. They lower the volume, change the input on the display, mute the system, do what they need to do, and walk out.


Every device may still be online. The network may be fine. The monitoring dashboard may be green.  But the room is no longer ready for the next Zoom meeting.


This is one of the fundamental problems with how we have traditionally monitored AV and UC environments: knowing that technology is online is not the same as knowing that a room is ready.


That's where Room Check inside Lena comes in.


In this first installment of Inside Room Check, I want to go beyond the feature description and show what actually happens when Lena checks a room.


It Starts With Knowing What “Right” Looks Like

Before Lena can determine whether a room is ready, she needs to understand what the room is supposed to do.


Inside Lena, administrators model their rooms and the technology within them using the Room Canvas. Devices, connections, and configurations give Lena context about the environment she is operating.


But understanding what is in a room is only the beginning.  The next step is defining what we call a target state.


A target state describes how that room should be configured for a particular use.


For a video conference, that might mean a specific display input, a defined audio level, the appropriate conferencing system active, and other devices configured in a particular way.


For a presentation, the desired configuration may be completely different.


A classroom makes this even easier to understand. At 8:00 AM, a professor may need a particular source displayed at a specific audio level. At noon, another professor may need the same space configured around a Zoom Room or Neat Bar.


Same room. Same devices. Two completely different definitions of “ready.”


Lena allows administrators to define those target states and use them as the baseline for determining whether the room is actually prepared for its intended use.


Actual State, Meet Target State

Once the target state exists, Room Check can be run manually or scheduled to run automatically. This is where things get interesting.  When Room Check begins, Lena doesn't simply ask whether each device is reachable.


She looks at the room's actual configuration in real time and compares it with the target state.  What is happening versus what should be happening?


That difference matters.


In a recent demonstration, we intentionally created configuration drift in a Zoom Room. The system was muted, the volume was changed, the display was switched to the wrong input.


From a traditional monitoring perspective, there may not be much to report. The devices can still be online and communicating. But from the perspective of the person walking into that room for the next meeting, there is clearly a problem.


So we ran Room Check.


Lena Doesn't Stop at Finding the Difference

Lena compared the room's current state with the target state we had defined for a video conference.


She found the differences and then she acted.  Lena took the display off mute, she restored the volume to the target level and she changed the display back to the correct input.


But there is another important step. Lena then initiated a Zoom call to test the conferencing experience.  Once the test was complete, she ended the call.


The room was returned to its intended state.


That's an important distinction between monitoring a room and operating one.  Traditional monitoring can tell an administrator: something changed.


Room Check is designed to answer a more useful question: does the room match the state it needs to be in, and if it doesn't, what can be done about it?


This Is What Configuration Drift Looks Like in the Real World

We often talk about configuration drift as though it is an abstract IT problem.  In AV and UC environments, it can be remarkably simple.


Someone changes an input, someone else adjusts a setting. Another person leaves a device a different state.


Individually, none of these changes seem significant. But the next person who walks into the room doesn't care why the room is wrong.  They just know their meeting isn't starting the way it should.


At scale, expecting technicians to walk from room to room looking for these differences is inefficient. And waiting for a user to discover them means the user effectively becomes part of the monitoring system.


Room Check changes that operating model.


Instead of asking a technician to inspect every room and manually compare its configuration with what they believe it should be, Lena can perform that comparison against a defined target state.


And when the difference can be corrected through software, Lena can take action.


Not Every Problem Can Be Fixed Remotely

There is an important boundary here. Software can correct a configuration but software can't plug in a cable that someone physically disconnected.


That's why the objective isn't to remove administrators and technicians from the process. It's to use their time differently.


When Lena encounters an issue that requires physical intervention, the administrator can be alerted.


Instead of spending time checking every room looking for a problem, the team can focus on the rooms where human intervention is actually required. That's a very different operational model.


Let software handle software problems. Let people focus on the problems that actually need people. We'll go much deeper into that distinction in Part 2 of this series.


And Then Lena Shows Her Work

Automation without visibility creates its own problems. Administrators need to know what happened. After Room Check completes, Lena generates a report documenting the results and the actions taken.


That information is available within the platform and can also be distributed by email to the appropriate individuals or groups.


So the outcome isn't simply: room ready. It's: here is what I checked, here is what I found, here is what I changed.


That visibility becomes increasingly important as organizations move from monitoring technology toward allowing AI to take operational action.


The Bigger Idea: Readiness Requires Context

The most important concept behind Room Check may not actually be automation. It's the target state.


For years, our industry has put enormous emphasis on knowing whether devices are online.  But “online” has very little context.


A display can be online and showing the wrong source. A conferencing system can be online while the room is muted. Every individual component can appear healthy while the room itself is not prepared for what the user needs to do.  


That's why the question needs to evolve.  Not: is the room online? But: is the room in the state it needs to be in for what is supposed to happen next?


Once you can define that expected state, compare it with reality, and act on the difference, a room check becomes much more than monitoring.


It becomes an operational workflow.  And ultimately, that's the goal.  Not another green light on a dashboard.


A room that's actually ready when someone walks through the door.
